Job overview

An exciting opportunity has arisen for a new post of Theatre Scheduling Team Leader within our Plastic Surgery Department. The primary function is to provide scheduling and strong operational management and leadership to the Plastics Theatre Scheduling team, developing and managing high quality, responsive and efficient services for the department.

In addition to scheduling both inpatient and daycase admissions, ensuring maximum use of available theatre capacity, the post holder will be responsible for overseeing the daily function of the Plastics Theatre Scheduling team and undertaking line management duties. Experience of, or a proven interest in undertaking training for, a leadership role will be an advantage.

The role will involve working flexibly within the department to provide and receive confidential and sensitive information, written, aural and verbal, to be exchanged with patients/clients, relatives, staff or external parties. The successful candidate will be self-motivated, independent, organised and resourceful with good attention to detail and the ability to plan. An excellent communicator both written and verbal is essential, as well as the ability to follow laid down processes and procedures.

Main duties of the job

  • Scheduling inpatient and day case admissions ensuring maximum use of available theatre capacity, assessing needs of individual patients and where appropriate rearranging patient combinations to maximise consultant/fellow and coordinating joint cases with other specialties within the Trust.
  • Escalation point of contact for complex/sensitive queries regarding scheduling, capacity or utilisation issues.
  • Support Scheduler and Cancer Pathway Coordinators in decision making and finding capacity for patients in order to prevent oncology or RTT breaches.
  • Ensure RTT18 targets are adhered to in conjunction with the manager, amending appointments when necessary. Weekly monitoring of RTT18 position for proactive management of breaching
  • Manage, supervise and support Band 3 and 4 Support Secretaries/Schedulers, volunteer and bank staff, including daily allocation of work, demonstration of duties to new starters and checking and approving work as necessary. Training new staff on the use of Orsos and patient centre.
  • Lead and manage the scheduling team to ensure that lists are filled and locked down in line with 6-4-2 process.
  • Plan and coordinate the workload of the Scheduling team including allocating and / or delegating tasks as appropriate to ensure that an effective and efficient scheduling service is delivered.
