An excellent opportunity has arisen within the Medical Staffing team for an experienced, enthusiastic and  well organised  individual who is currently working within a medical staffing role (or has done so in the past).

Medical Staffing is a specialised area of HR and it is expected that the successful candidate will have at least 6+ months experience of working within a Medical Staffing team and will be able to build on the medical staffing skills and experience that has already been gained in a previous or current roles. Applicants should be able to demonstrate commitment and have excellent communication and interpersonal skills to enable the applicant to support our medical staff.

Main duties of the job

As the Medical Staffing Specialist, in addition to managing the recruitment of medical staff for the Trust including Consultant recruitment via AAC panels as well as manage the Junior Doctor rotations, the successful candidate will be the lead, and will be responsible, for managing the medical rotas.

The role will involve working in partnership with Heads of Service and Departmental Managers, Royal College of Psychiatry, Health Education England (HEE) and other internal and external stakeholders.

The successful post holder will be expected to provide a quality assurance and customer focused role to ensure that all administrative tasks associated with medical rotas and the medical recruitment process are checked and monitored in line with set key performance indicators.

Detailed job description and main responsibilities

  • To lead, contribute and monitor on all medical recruitment across the Trust and will focus on a number of areas:
  • Lead and manage on all medical recruitment across the Trust, including SAS, specialist Doctors, Locum Consultants, Consultants, Junior Doctors and Junior Doctor rotations.
  • Being the social media advertising expert, to include proactive resourcing for specialist roles.
  • Provide training and coaching to medical hiring managers on the Trusts’ e-recruitment system and support them to be able to use the e-recruitment system efficiently and effectively.
  • Taking an account management approach, ensuring a timely and high-quality proactive medical recruitment service is facilitated across the Trust in accordance with the agreed standards of practice. This includes supporting the Head of Medical Staffing in providing consistent and proactive advice/guidance to managers, on recruitment and its processes.
  • To ensure that the medical recruitment pipeline is proactively progressed and that activities are completed and achieved within set and agreed timelines. This includes horizon scanning and resolve issues before this are escalated. This includes proactively reviewing vacancies not yet progressed to recruitment, linking with service leads to ensure these are progressed and keeping the Head of Medical Staffing updated at all times.
  • To take a talent management approach, ensuring candidates in the pipeline who is appointable is moved across into other vacancies should there not be enough vacancies to offer from a given campaign.
  • To have responsibility for and progress medical honorary contracts pre-employment checks, ensuring a timely facilitation of these in line with agreed timelines.
  • To be responsible for the pre-employment checks for all medical recruitment, including medical honorary contracts and junior doctor rotations and take full responsibility for ensuing, that all pre-employment checks are collated and record in the staff files. This includes issuing relevant contracts, ESR inputting in line with payroll deadlines. This includes participating in the resourcing office rota and support on any pre-employment checks which may arise when in the office, including non-medical.
  • Ensure all employment checks and paperwork is accurate and compliant with NHS Employers’ Employment check Standards and to brief staff on any updates as necessary. This includes ensuring compliance with the GDPR legislation in relation to recruitment and employment records.
  • To participate in audits and spot checking as and when required, and as directed by the Recruitment Manager, to ensure consistency across all checks in line with legal requirements and obligations.
  • To lead and undertake all aspects of arranging AAC panels for consultant interviews, including contacting the Royal College requesting and chasing reps where required. This includes, submitting relevant outcome paperwork to the Royal College on appointment. In the absence of the Head of Medical Staffing attend AAC panel interviews.
  • To ensure that all job descriptions are submitted to the Royal College for approval prior to advertising. This includes, liaising with Clinical Directors and Service Leads obtaining relevant job descriptions. To maintain the medical job description library and ensure that this updated with new and/or approved job descriptions.
  • The postholder will be the lead for developing, producing and maintaining medical rotas for Doctors within the Trust across all Service Lines with support of the other Medical Staffing Specialist.
