An exciting opportunity has arisen for a Medical Secretary to join the Children and Young Peoples Autism Service.
We are a very busy and friendly team and are looking to engage an experienced Medical Secretary with sound secretarial and excellent typing and interpersonal skills to take on this busy and varied post.
This role will provide a confidential and efficient secretarial and administrative support to the CYPAS Consultant Psychiatrist.
In the role you will be required to work on your own initiative and demonstrate a willingness to help others and be a key member of the team. You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post, liaising with relevant others in order to provide a high quality and seamless service.
Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations.
You will work pro-actively using your own initiative, developing a sound understanding of the CYP Autism Service and current practices to manage workload and ensure information is communicated appropriately and enquiries are directed correctly.
Main duties of the job
- Provide customer focused services for autism clinics including receiving calls and relaying messages. Provide a confidential, effective and efficient secretarial service to the Consultant, providing and receiving complex and often sensitive information
- Produce a range of highly confidential good quality documents including typing of letters, memoranda etc. from written and audio transcription, also composing correspondence where required.
- To input patient data including referrals, patient diary management, diary appointments, contacts etc., onto the Patient EPR System. To update patient information on the system as required and send patient appointment reminders.
- Create and maintain accurate Patient Case Notes ensuring patient details are updated as necessary.
- Provide PA and secretarial support to the Children and Young Peoples Autism Service Consultant Psychiatrist.
- Maintain an effective office support system including filing, photocopying, faxing and scanning.
- Deal with general enquiries from patients, relatives, internal and external clinicians, various agencies both statutory and voluntary (including Social Services, Education Welfare, Probation Services, Solicitors, General Practitioners and other health care professionals) in a confidential and sensitive manner. Accurately record any messages and ensure suitable follow up.
- Maintain electronic diaries for clinical and non-clinical activities including the arrangement of appointments and clinics for clinicians, as required.
- Provide administration support to the including typing of correspondence, booking meetings, diary management, maintaining databases and ensuring strict confidentiality is maintained at all times.
- Manage and prioritise own workload in order to meet specific deadlines. Able to work on own initiative with limited supervision.
- Input new referrals received by the Team onto the Trust computer system. Maintain waiting lists and seek further information/clarification, as requested by Team members.
- Maintain Trust / Service databases to meet national DoH, Local, directorate and Trust targets.
- Maintain strict confidentiality of information concerning patients and sensitive Trust business at all times.
