An opportunity has arisen to work within the Gynaecology department as a Medical Secretary providing Secretarial, admin and clerical support to the Consultants.

We are looking for an experienced Secretary who has worked in a similar role.  You will need a good understanding of secretarial and admin processes within the NHS or a similar setting.

Main duties of the job

The post holder will have dual responsibility for co-ordinating the administration of clinical and departmental tasks for the Consultants and , as well as co-ordinating and maintaining patient pathways in line with national targets, local policies and procedures. They will provide a comprehensive and efficient administrative service to the department together with helping to support other specialties within the division as required. The post holder will develop a good knowledge of the 18-week pathway and local Trust Access Policy and working closely with staff, patients and other health professionals, they will ensure quality of service and enhanced patient experience.

Detailed job description and main responsibilities

  • To provide secretarial and administrative support to the Consultants and their team, typing clinical letters, insurance claims, references for doctors, risk reports, clinical audit and other correspondences.
  • To type complaint reports and liaise with Patients’ Relations Officer.
  • To maintain the Consultant’s diary
  • To deal with telephone call enquiries effectively, exercise judgement when dealing with patient’s enquiries. Also record voice mail messages and take appropriate action.
  • To deal with incoming correspondence as appropriate.
  • Request notes form Medical Records as and when required by Consultants and track all notes back to records.
  • To arrange patient’s follow up appointments and new as required for patients in accordance with current clinical activities
  • To check the Pathology reports in a timely manner
  • To make “Kids Glove” appointment, also obstetric patients who have had complicated history, deliveries etc ensure post mortem/histology available for clinics.
  • To arrange cancellations/reduction of clinics in accordance with the Consultant’s commitments
  • To ensure that relevant documentation is prepared and available for clinics.
  • To be responsible for ensuring that the appropriate records are updated and maintained and that accurate information is available for Consultant and medical team.
  • To liaise effectively with staff from other directorates, disciplines, patients, hospitals, GPs and other agencies.
  • To make appointment for Pharmaceutical Representatives with Consultant
  • To bring Consultant’s attention any urgent and non-urgent messages, calls from GPs, Midwifery/Nursing Staff and distraught patients.
  • To undertake other tasks allocated by the Secretarial team leader
  • To work collaboratively with other secretaries in order to organise patient’s pathway smoothly
