We are recruiting for a Haematology Clinic Booking Service Officer who wishes to join #TeamIOWNHS.

Salary: Agenda for Change Band 3

Hours: 37.5 per week

Type: Permanent

To provide a comprehensive secretarial/administrative service to the Consultants within the Haematology service; enabling them to optimise clinical commitment, and therefore facilitating the Trust in the achievement of its objectives and targets.

It is essential that the post holder should exercise initiative and judgement using  acquired skill and knowledge whilst always maintaining confidentiality.

The successful post holder will act as the liaison point for the team, ensuring accurate and timely communications and ensuring all queries are actioned effectively. This can include liaison with internal and external bodies as well as professional bodies and members of the public.

Main duties of the job

The post holder will:

  • Respond to callers and visitors promptly and courteously, identifying their needs,  providing information or referring them as appropriate to the relevant discipline.  · Ensure communication and direction is clear within the team in co-ordinating  workload and meeting deadlines.  · Ensure good communication with the Haematology/Blood Sciences Team and  colleagues within the department to ensure accuracy of information.  · Deal with telephone calls from patients booking appointments in a courteous and  professional manner, appointing appropriately within waiting list guidelines.  · Phone patients to offer them appointments before their breach date and send a letter  of confirmation.  · Deal with telephone enquiries from service users promptly and courteously, using  initiative as necessary.  · Assist the team with the cancellation and re-booking of clinical appointments on a  daily basis, and telephone the patients to inform them of the cancellation.  · Telephone GP practices to request copies of referral letters when not attached to the  Choose and Book system.  · Confirm appointment date and time by letter, sending any appropriate information to the patient.  · Receive and respond to telephone calls from patients, in a courteous manner,  wishing to change or cancel their appointments.  · Inform PAS and all affected parties of any changes and amendments to clinics.  · Provide a comprehensive Outpatient reception service to include:-

You will work closely with your consultants and clinicians and you will be able to demonstrate excellent communication, secretarial and organisational skills to undertake this role in a busy department liaising with both colleagues and patients.

Knowledge of the Trusts IT System is desirable.  Knowledge of medical terminology is essential.
