Job overview

To provide efficient and comprehensive administrative support to the Named Doctor, Named Nurse for  Safeguarding Children and Young People and the Named Safeguarding Midwife as part of an Integrated  Safeguarding service  The post holder will work closely with the Children and maternity safeguarding team to support and keep  updated relevant contract, schedule and activity databases.  Work with the Trust’s systems and processes, assuring practice complies with legislative and regulatory  duties.  A requirement to communicate with a wide range of internal and external stakeholders ensuring  safeguarding risk information is shared appropriately and in a timely way

Main duties of the job

1. To maintain responsibility for Children and Maternity Safeguarding administration processes.  2. Provide administrative support to the Children’s Safeguarding and Maternity Team. This includes  the production of a variety of documents, such as safeguarding reports, action plans and serious  case reviews, as requested by the Safeguarding Team  3. Provide administrative support for the Child Death Review Panel  4. Co-ordinate the various reports required for strategy meetings to ensure that full reports are  supplied   Page 2 of 4  5. In liaison with members of the safeguarding team proactively maintain and update diaries, using  initiative and judgment to make, reschedule or cancel appointments according to incoming and  existing work priorities and availability  6. To support the team to maintain and upload secure and confidential electronic safeguarding patient  related information on the Patient Data Systems e.g.,Careflow – as requested by the safeguarding  team  7. Monitor and update the Children and Maternity safeguarding webpages to ensure that information  remains up to date.  8. To consult with internal and external professionals as requested by the safeguarding Children &  maternity team and to ensure appropriate follow up action is taken  9. Maintain an awareness and sensitivity to the work needs and priorities of the Children’s  Safeguarding Team ensuring time, privacy and appropriate resources are made available to them to  ensure work is completed within deadline

In liaison with the Named Nurse/Midwife co-ordinate and compile meeting documentation in  preparation for meeting attendance  11. Co-ordinate and compile meeting documentation, including minute taking, for the Maternity, Adult  and Children’s Operational meetings and forums  12. There will be a requirement to occasionally take minutes of other associated meetings  13. To respond to urgent requests from stakeholders and communicate the message in an accurate  and timely manner  14. To assist with service surveys and audits as required  15. To maintain local safeguarding databases  16. To manage own workload effectively without supervision and to undertake tasks as delegated  17. To manage maintain up-to-date knowledge required to conduct the role and to undertake statutory  and mandatory and other training as requested  18. Act with civility and integrity at all times, valuing and encouraging the contribution of others within  the team and valuing diversity and inclusion in the workplace  19. There may be frequent exposure to highly distressing or emotional circumstances, e.g. .children  who are abused or child death (take minutes, type letters of a distressing nature). The work pattern  may be unpredictable and subject to interruption  20. To provide relevant cross-cover in the absence of the Adult Safeguarding administrator
