We have full-time positions (37.5 hours per week), Monday to Friday available.

As a Business Assistant, you will play a vital role in supporting young people, families, and the clinical teams by handling telephone inquiries, booking appointments, assisting with clinical documentation, and using SystmOne to complete essential tasks.

In this role, your key responsibilities will include:

  • Managing telephone, email, and task queries in a professional and efficient manner.
  • Booking appointments and meetings for young people and families. Assisting the clinical team with day-to-day administrative tasks.
  • Formatting clinical documentation to ensure it meets required standards.
  • Providing essential support to both the clinical and admin teams to ensure smooth operations.

Main duties of the job

  • Book and Arrange Appointments & Meetings:Coordinate and schedule appointments for young people and families, as well as arrange meetings for the clinical and admin teams.
  • Assist with Clinical Documentation: Format and prepare clinical documents to ensure they meet necessary standards and requirements.
  • Support the Clinical Team: Provide administrative assistance to clinical teams by completing tasks on SystmOne and assisting with other relevant duties.
  • Maintain Effective Communication: Act as a liaison between families, young people, and the clinical/admin teams, ensuring all parties are kept informed and supported.
  • Ensure Smooth Office Operations: Provide general administrative support, contributing to the overall efficiency of the office and service delivery.
  • Uphold Professionalism: Demonstrate a high standard of professionalism and confidentiality while interacting with patients, families, and team members.
