Job overview

We have an exciting opportunity to join our friendly and motivated Care of the Elderly admin team based Leighton Hospital.

We are looking for an enthusiastic and flexible individual to undertake the role of APA (Assistant Personal Assistant) to our Medical Secretarial Team, who support the Consultants, Nurse specialist and other clinical team members. We are keen to hear from applicants who can demonstrate their organisational skills and who can work on their own initiative.

This position is 24 hours a week. The current employee in post works 08:00 - 16:30hrs Monday - Wednesday. We would consider alternative hours of work providing this included Monday - Wednesday.

Core office hours are 08:00 - 17:00hrs Monday to Friday. Hours to be agreed with the successful applicant.

Main duties of the job

The main duties of the post but not exhaustive:-

  • Provide a comprehensive secretarial/administrative service, organising and making arrangements, typing and distribution of documents and reports, recording information and filing, ensuring that all information and documentation is produced to expected standards of performance, and according to agreed timescales
  • Assist with managing diary commitments by liaising with others, internally and externally, ensuring that all the required preparation is accurate and available, and that all Consultants/clinical professional teams/others are briefed on any difficulties, problems or issues,
  • Maintain constructive relationships with others, within and across Divisions and externally in order to improve the effectiveness and efficiency of services to patients,
  • Be fully conversant with all required electronic systems for correspondence, including specialist computer systems associated with the management of patients and/or health information, and being able to obtain information using the Internet,
  • Provide information to patients/relatives and carers where appropriate, including agreed information on waiting lists, tests and referrals, according to agreed guidelines, and in the absence of the PA.
  • Monitoring investigations database to ensure clinicians get investigations requested back in a timely manner
  • Updating RTT pathways, closing of referrals, clinic cancellations

Detailed job description and main responsibilities

The post holder will be supported to learn all the required skills to be able to provide a comprehensive, quality and confidential secretarial/administration.

Applicants should be highly motivated and able to demonstrate working on their own initiative but also as part of a team. You will need to be flexible with a willingness to learn and excellent communication skills when liaising with multi-disciplinary professionals.

Ideally you will have some NHS experience, possess good IT skills and excellent audio typing.

As an Assistant PA (APA), you will be expected to organise your own workload in accordance with the tasks set by the PA to ensure that an efficient service is provided at all times and provide support to other colleagues in the administration team.
