An exciting opportunity has arisen to undertake an apprenticeship within our Healthcare Records/Medical Secretaries team.

The successful candidate will be based within the one of the Medical Secretarial Team sub-specialities and will provide admin support duties .

The post will include typing of clinic notes and processing letters, scanning patient information into the EPR system,  processing mail within the team daily, answering and dealing with queries via telephone and other administrative support as required.  The nature of the typing is complex, sensitive and confidential.

We are looking for an individual with an interest in secretarial work who is able to work well as part of a team as well as the ability to work on own initiative.  Good communication and interpersonal skills are important along with the ability to work accurately, paying attention to detail.

As an apprenticeship full training and guidance will be given as well as protected time to complete modules within the apprenticeship.

  • For those aged 21 & over the rate will be £11.44
  • For those aged 18-20  the rate will be £8.60
  • For those under 18  it will be £6.40  per hour.

Main duties of the job

Typing of patient's clinic notes from Digital Transcribing System.

Scanning patient information into the Electronic Patient Record system accurately.

Opening and processing mail within the department daily.

Answering the telephone and dealing with queries under guidance with the Senior Medical Secretary.

Detailed job description and main responsibilities

Process incoming mail and distribute as necessary on a daily basis.

Scanning of patient information into the patients electronic record, eg, physio reports, scan results, blood results promptly and accurately.

To type clinical notes, pre op notes and ward notes accurately through audio transcription distributing as necessary to the relevant healthcare professions and patients.  This work involves a significant use of the Trust’s computer systems, SF4/EPR and Lorenzo.

Maintaining the diagnostic waiting list to include printing off results and updating the diagnostic waiting list.

Up-dating patients details on the Lorenzo system ensuring accuracy.

Checking patient’s appointments and waiting list entries on the Lorenzo system

Answering incoming telephone calls as well as carrying out external telephone calls

The use of photocopy and fax machines
