We are currently looking to recruit an enthusiastic and motivated, part-time Administrator to  join the Primary Care Mental Health Service Countywide, base to be Bridge Street, Peterborough

Main duties of the job

We are currently looking for an Administrator to help our busy team with a variety of office requirements including sending out clinical correspondence.

Main duties will include communicating through SystmOne, formatting and sending letters to service users, booking appointments, minute taking and arranging clinics for our clinical team.

Additional admin duties: dealing with admin requests coming to our mailbox, scanning, uploading and printing documents, updating patient records.

Ideal candidate will need to have great typing skills and be able to use audio typing equipment. This part of a role also requires you to use MS Excel & Word, you will need to be confident using MS Office.

You will have great communication skills, well organised and be able to work to tight deadlines. We are looking for someone who can offer good support to our colleagues, be a team player and work together to manage workload.

Detailed job description and main responsibilities

1. Word processing of all forms of correspondence, reports and summaries that are required by the team. 2. Undertake diary management for clinicians and/or managers, as required. 3. Organise clinics and associated appointments for clinics, using appropriate brought forward systems to manage work. 4. Provide operational support to colleagues, and supervision of Band 2 administration staff within the team, if required, as directed by Line Manager. 5. Inputting and updating service user information and service user/team activity on computerised information systems, creating service user notes where necessary and according to policy. 6. Maintain filing in both paper and electronic records, ensuring that it is kept up to date at all times. In accordance with Trust procedures, track and receive notes in a timely manner. 7. Ensure good customer service by providing a professional and effective telephone service, taking accurate messages and providing information and signposting as requested and appropriate. 8. Undertake training of new staff as directed by Line Manager and/or other managers. 9. Provide cover as directed by Line Manager for other members of the admin team in their absence and assist with their workloads as necessary and undertake such other duties as may be reasonably required commensurate with the grade of the post.
