Job summary

We are seeking a senior administrator to join the children's community nursing services administration team. The post holder will be predominately responsible for the provision of administrative support to the Community Children's Nursing Team.

This is a permanent 18.75 hours a week post.

The Children's Community nurses support children and young people (CYP) and their families across Dudley. They offer support in a variety of ways, home visits, telephone reviews and supporting education settings. The post holder will need to be flexible in their approach, a good communicator and have the ability to manage and prioritise their workload.

The main duties of the job include: communicating with families and professionals via phone and email, liaising with other professionals to gather additional information for the clinical team, overseeing the completion of Rio essential information, typing letters and reports as directed, diary management, scanning, medical equipment and ancillaries management and entering confidential information on to the computer systems and supporting the Team Manager in basic workforce tasks.

  • The post holder will provide a comprehensive secretarial and administrative support across the children’s community health team to enable them to function effectively.

q   Administration

1.        Act as a point of reference for incoming telephone queries, taking appropriate action personally or redirecting as necessary.

2.        Produce memos, reports and letters in accordance with Division guidelines.

3.        Carry out general administrative and clerical functions including photocopying, uploading onto Rio, filing and emailing as required.

4.        Process the client referral system and associated paperwork in accordance with all systems.

5.        Maintain effective and efficient team systems and office procedures including adequate supplies of teams forms/leaflets and stationery requirements.

6.        Maintain effective diary management as required by management.

7.        Process incoming/outgoing post, taking appropriate action as necessary.

8.        Maintain an efficient filing and records system, encompassing secretarial      services.

9.        Collate statistical information and prepare returns appropriate to grade as     required by management.

10.     Take notes or minutes of meetings as required and appropriate to grade.

11.     Undertake the administrative tasks of ordering of supplies and services including the submission of works tickets and urgent requests for maintenance/estates, where appropriate under the direction of the Line Manager.

12.     Order all clinical supplies and ensure that these are sourced and delivered appropriately and are ordered on the correct budget line

13.     Complete individual funding requests to the Integrated Care Board to ensure the correct funding is obtained
